Position Overview
The HMI CS Operations Specialist is responsible for supporting customer service operations through data analysis, reporting, coordination, and cross-functional communication. This role ensures operational efficiency, accurate reporting, and smooth execution of logistics and departmental activities.
Key Responsibilities
1. Data Analysis & Reporting
- Collect, clean, and analyze operational and customer service data
- Generate regular and ad-hoc reports to support decision-making
- Develop and maintain BI (Business Intelligence) dashboards and performance metrics
- Monitor KPIs such as service level, response time, and shipment performance
- Provide insights and recommendations to improve operational efficiency
2. Business Intelligence (BI) Reporting
- Prepare structured BI reports using internal tools or platforms
- Ensure data accuracy, consistency, and timely delivery of reports
- Support management with data visualization and trend analysis
- Collaborate with stakeholders to define reporting requirements
3. Meeting Coordination & Hosting
- Organize and host internal and cross-functional meetings
- Prepare meeting agendas, presentations, and materials
- Document meeting minutes, action items, and follow-ups
- Facilitate communication between teams to ensure alignment
4. Logistics & Shipping Coordination
- Track and coordinate shipment status and delivery schedules
- Liaise with logistics partners, vendors, and internal teams
- Handle shipping documentation and issue resolution
- Ensure timely and accurate delivery of products/services
5. Department Activities & Coordination
- Support planning and execution of departmental activities and projects
- Assist in process improvement initiatives
- Coordinate team events, training sessions, or internal programs
- Provide administrative and operational support to the CS team
6. Excel & Data Management
- Utilize advanced Excel functions (Pivot Tables, VLOOKUP, formulas, etc.)
- Maintain structured datasets and ensure data integrity
- Automate routine reporting processes when possible
7. Presentation & Documentation (PPT)
- Create professional PowerPoint presentations for management and stakeholders
- Summarize data insights into clear, visual formats
- Support business reviews and performance presentations
Qualifications
- Bachelor’s degree in Business, Operations, Data Analytics, or related field
- 1–3+ years experience in customer service operations, logistics, or data analysis
- Strong proficiency in Microsoft Excel and PowerPoint
- Experience with BI tools (e.g., Power BI, Tableau) is a plus
- Good analytical and problem-solving skills
