About the Role

JOB SUMMARY:

Under the supervision of the Assistant Finance Director, or designee, provide administrative support for a variety of departmental functions, including but not limited to: accounts payable, accounts receivable, general ledger reconciliation, and finance training programs; perform related work as required.

Works 15-20 hours per week. Hours are flexible, but must be scheduled Monday-Thursday, 7:30 a.m. to 5:30 p.m.

ESSENTIAL FUNCTIONS:

  1. Assist with accounts payable and accounts receivable functions.
  2. Assist with scanning and filing of documents.
  3. Assist with coordination of Finance training programs.
  4. Assist with general ledger reconciliation.
  5. Assist with contract management including Enterprise and Certificates of Insurance (COI).
  6. Assist with processing of purchasing cards.
  7. Assist with vendor maintenance.
  8. Assist with records management and retention.

 

OTHER FUNCTIONS:

 May attend department and/or staff meetings or other professional functions.

 MINIMUM QUALIFICATIONS: 

  1. Must a senior in High School currently enrolled in a Business Management or similar field  pathway/academy. Current enrollment in an accredited college with a focus in Finance, Accounting, Business, Public administration or related field, preferred.
  2. Communicate effectively and courteously with the public and other employees in person, on the phone, and in writing.  
  3. Ability to maintain confidentiality of sensitive data.
  4. Strong organizational skills, attention to detail, and ability to prioritize work effectively.  
  5. Advanced computer skills and related software knowledge, such as Microsoft Excel, Word and PowerPoint.
  6. Good oral and written communication skills; and the ability to understand and carry out oral and written instructions.

 While performing the duties of this job, the employee is constantly required to read a computer screen or documents, grasp, handle, feel, type, listen, hear, reach, see, speak, walk, and sit for long periods.  The employee is frequently required to bend, stoop, crouch, carry, and lift up to 35lbs.   Work is generally performed in a climate-controlled office with limited exposure to outdoors in extreme weather conditions.
