About the Role

This project focuses on designing and implementing a smart, secure knowledge base and intranet using Microsoft SharePoint with a metadata-driven architecture. The goal is to structure organizational knowledge, improve search efficiency, and enhance collaboration across departments. A key component of the project is implementing role-based security and access control using Microsoft Entra ID, ensuring that information access is aligned with organizational roles and responsibilities.

 

Problem Statement

Organizations often need to manage internal knowledge to have structured content, enhance search capabilities, and strengthen access control. Documents current distribution creates an opportunity to significantly improve information discoverability, governance, and overall knowledge organization.

By enhancing access management, the organization can also strengthen security while ensuring users access the right information at the right level. Therefore the challenge is to build a centralized, intelligent knowledge platform that combines structured metadata, efficient collaboration tools, and secure, role-based access control.

 

Methodology for Solution

The project will follow an end-to-end approach, starting with an assessment of current knowledge management practices and user needs. The student will design a metadata taxonomy and content architecture within SharePoint, implement document libraries and intranet components, and configure search optimization. Entra ID will be used to define roles, groups, and permissions to enforce secure access. Workflows and governance rules will be implemented, followed by testing, user training, and documentation.

 

Expected Deliverables

  • A functional SharePoint-based intranet and knowledge base with metadata-driven content.
  • Configured role-based access control using Entra ID.
  • Defined metadata taxonomy and governance guidelines.
  • User documentation and a final technical report describing the solution and outcomes.
