NextFlex, America’s Hybrid Electronics Manufacturing Innovation Institute, is a public-private partnership and non-profit with the mission of advancing the capabilities and strengthening the industrial base for U.S. manufacturing of Hybrid Electronics (HE). NextFlex was designed to facilitate the development of enabling manufacturing technologies and knowledge sharing with institute members and the U.S. Government. Our work enables the next generation of electronics and packaging for government and commercial applications for healthcare, wearable, industrial, communications, automotive, aerospace, and agricultural markets, as well as novel applications for emerging markets.


Complementing NextFlex’s focus on developing and commercializing innovative technologies, NextFlex’s Education and Workforce Development department is creating the next-generation STEM workforce for the electronics industry. In support of our education and workforce development goals, NextFlex develops and operates a portfolio of learning programs designed to be adopted by various stakeholders (employers, higher education, non-profit, and K-12 entities) across the country with the goal of attracting and training the future advanced manufacturing workforce and upskilling and retraining the existing workforce.

Position Summary 

This internship will involve managing many tasks related to the production of member events, including our largest annual event called “Innovation Days.” This event is in collaboration with a three-day partner event and draws together members and government partners for a day of keynote talks, technical presentations, networking, and tabletop demonstrations (demo). This role involves reaching out to NextFlex members to secure their participation in the event and tabletop demonstrations, while also supporting the Events Manager with planning and execution tasks such as vendor management and speaker support. This role will collaborate within a team environment to achieve a successful outcome.

The essential functions include, but are not limited to the following:

  • Contact NextFlex members and government partners to engage their participation in Innovation Days and, specifically, support their participation in the demo portion of the event. This includes confirming their participation and guiding them to all aspects of what that entails, answering questions and following through on requests. Regularly communicating progress to the team.
  • Support the Events Manager with logistics requirements and vendor coordination (catering, AV, marketing communications (marcom), event production, shipping/receiving, etc.).
  • Support the Events Manager and Marcom in distributing marketing and member communications through email and/or social media.
  • Ability to physically set up on-site events, including signage, registration, and support exhibit set up and dismantling. Meet tight deadlines and adapt quickly to changing dynamics.
  • Ability to work on some of these platforms: Whova, Zoom/Teams, WordPress, Salesforce, and MS Office (Word, Excel, PowerPoint).
  • Develop and maintain a filing system for demo and attendee management.
  • Schedule calls with C-level executives and other key stakeholders.
  • Compose effective meeting minutes in internal and external planning calls and distribute to stakeholders.
  • Regularly report and monitor registration numbers and types.
  • Organize final attendance reports.
  • Export and tag images from events and social media.
  • Ability to multi-task and support parallel events at multiple site locations.

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Relevant experience or education in hospitality, events, or marketing.
  • Must be able to work under minimal supervision, have excellent communication skills, both written and verbal, and be able to function effectively within a small team.
  • Must be highly organized and detail oriented, like when managing and tracking participation statistics and member outreach. 


Preferred Qualifications (Knowledge, Skills, and Abilities)

  • Prior experience working in events.
  • Able to contribute creative ideas. 


Physical Demands and Work Environment

On-site office work will be conducted using general office equipment, includes substantial sitting and is performed primarily in a typical indoor office setting with cubicles, offices, and conference rooms. Low to moderate noise and interruptions typical of an office setting, such as peer conversations, computers, printers, and phones.


Given that this role will support the exhibit portion of the event, there may be need to move/carry boxes weighing 10-15 pounds, extensive use of computer, and intense day-of event activities including periods of standing.


Travel Requirements

Anticipating local only travel within the Bay Area.

To conform to U.S. Government export regulations, including the International Traffic in Arms Regulations (ITAR), you must be one of the following: a U.S. citizen, a lawful permanent resident of the U.S., a protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.
