Position Title: Convenings (Meetings and Events (Intern (May - August 2026)

Department: Convenings

Location: Washington, DC. All staff and interns work from their local Lumina office three days days a week.

Duration:  May 12 – Aug. 6, 2026

Compensation: $18- $21 hourly for undergraduate students

$21- $24 hourly for graduate students or recent graduates

Schedule: Work hours (40 hours/week); typically 9 a.m. to 5 p.m., scheduled with supervisor.

Purpose

The candidate will provide hands-on operational, coordination, and logistical support for Lumina Foundation convenings that advance postsecondary attainment and economic mobility, with a strong emphasis on equity. The intern will support the planning and execution of complex, multi-day meetings, retreats, and conferences that bring together Lumina staff, grantees, policymakers, education leaders, and partners to drive learning, alignment, and action


This role supports the full convening lifecycle—from pre-event planning and stakeholder coordination to on-site execution and post-convening documentation—and offers direct exposure to how Lumina designs intentional, mission-driven convenings that balance strategic objectives, participant experience, and operational excellence.

The candidate will work closely with the Convenings team to support event planning and execution, including logistics coordination, stakeholder communication, preparation of materials, on-site support, and post-event follow-up. This role offers hands-on experience in mission-driven convening design and cross-functional collaboration.


Responsibilities:

  • Support the planning and execution of internal and external convenings, including meetings, retreats, and conferences, by assisting with logistics coordination, timelines, and task tracking.
  • Assist with preparation of convening materials such as agendas, briefing documents, participant lists, run-of-show materials, signage, and post-event summaries.
  • Support registration and attendee management, including tracking RSVPs, preparing name badges and materials, and assisting with on-site check-in and guest support.
  • Coordinate with internal teams, consultants, and vendors to support event readiness, including AV, catering, room setup, and materials delivery.
  • Provide on-site support during convenings, including room monitoring, session transitions, speaker support, and troubleshooting as needed.
  •  Assist with post-convening follow-up, including documentation, feedback collection, and organization of materials and files.
  • Support administrative and operational tasks related to convenings, including maintaining shared folders, updating project trackers, and supporting process documentation.

    


Requirements

Education and Experience 

  • Enrolled upper class undergraduate or graduate student, or a recent graduate Events Management, Hospitality Management, or a related field; we will also consider an equivalent combination of work and learning experience.


Qualifications

  • Stable access to high-speed internet
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a passion for creating memorable experiences.
  • Proficient in Microsoft Office and other relevant software.
  • Ability to work independently and collaboratively
  • Ability to juggle multiple projects at a time
  • Ability to work in the Washington DC area


Work Environment and Physical Demands

  • Work is performed in an office environment.
  • Ability to lift 25 lbs.
  • Able to extensively use of various forms of technology.
  • Sitting and standing for long periods of time.
  • Travel occurs infrequently but may include overnight stays.
