About the Role

Position Title:            Programs & Events Seasonal Assistant/Intern

Department:              State Fair

Reports To:               Fair Division Coordinator – Programs & Events

Supervises:              N/A

Classification:          Seasonal, Hourly

Pay Range:               $12-$14/hr (dependent upon experience)

This position is a seasonal role with an anticipated start date, end date and number of hours per week/month as outlined below. Employment is tied to seasonal business demands and is not guaranteed beyond the seasonal period. While there may be opportunities for other or intermittent hours outside of the stated period, any such hours are contingent upon business needs, workload, and operational requirements and do not change the seasonal nature of the position. This position does not carry a guarantee of minimum hours or continued employment beyond the seasonal term. This will be a temporary, part-time and hourly position for employment related to the 2026 Oklahoma State Fair. No other benefits, except those required by law, apply. Applications will continue to be accepted until position has been filled.

Job Responsibilities

Assist the Fair Division Coordinator with all duties including but not limited to the following:

  • Procure, schedule and assist performers for the Bandshell Stage and other community stages.
  • Input and manage data for the Bandshell Stage and Oklahoma State Fair Band Day competition.
  • Assist with execution of all special events 
  • Assist with various entertainment and special event contracts including updating and pursuing outstanding contracts, insurance, payments, etc.
  • Assist with ordering, tracking and distribution of credentials
  • Assist with creating publications, badges, website content and mailings using various software programs.
  • Attend and take notes for all meetings related to special events and the State Fair Academy.
  • Field questions and/or resolve problems via phone and in-person.
  • Assist with various area set ups and tear downs for the Fair.
  • Assist in other departments as needed.
  • Other duties as assigned. 

Additional Job Requirements

  • Excellent communication and leadership skills.
  • Self-motivated and detailed oriented with the ability to complete assignments with accuracy.
  • Ability to work efficiently with minimal or no supervision.
  • Extensive experience of Microsoft software, specifically Word and Excel.
  • Knowledge in Adobe products, such as InDesign and Photoshop Elements, preferred, but not required.
  • Knowledge in Canva.
  • Ability to learn industry specific programs.

Physical Requirements and Working Conditions

  • Extended hours, nights and weekends may be required during peak periods.
  • Frequent or continual movement from place to place with normal physical mobility, covering long distances with ease, managing assigned tasks throughout various indoor and outdoor locations within and around the property and in potentially inclement/severe weather conditions.
  • Regularly lift, carry and put away items weighing up to 25 lbs. and occasionally lift and carry heavier items and/or assist others in lifting heavier objects, as job demands.
  • Walk and/or stand for extended periods in addition to other prolonged physical exertions including seeing, hearing, reaching, grasping, lifting, pushing, pulling, squatting, crouching, stooping, bending, kneeling, climbing, and working in awkward positions and tight areas may be required.

Additional Information – Work Schedule                                                   

  • Flexible daytime hours can be arranged through the end of April, at which time the position becomes full-time. Those who take this job MUST be able to work 7 days a week from September 1 – October 1.

February – October 2026 (DATES & HOURS MAY FLUCTUATE AS WORKLOAD DICTATES AND MUTUALLY AGREEABLE)

PRE-FAIR HOURS ESTIMATE

A pay week is Saturday through Friday. Hours in excess of 40 in any pay week are overtime.

April:                Flexible weekdays, 16-32 hours/week

May:                Weekdays, 32-40 hours/week

June:               Weekdays, 32-40 hours/week

July:                 Weekdays, 40 hours/week

August:            Weekdays, 40 hours/week (possibly some additional hours as needed that could be longer days or stretched to a weekend day, with advance notice)

FAIR HOURS ESTIMATE

September:     40-60 hours/week, evenings and weekends included

POST FAIR HOURS ESTIMATE

October:          Weekdays, early October 40 hours/week gradually reducing as the month progresses
