Job Description

Mission

The mission of the PMO Intern is to support the successful delivery of a complex ERP project by bringing a central support to the Project Manager, ensuring that key information, actions, and dependencies are tracked, documented, and communicated consistently.

By supporting ITC and UAT preparation and execution by ensuring that testing activities are well‑organized, risks are identified early, and stakeholders are aligned on readiness and progress. This involves maintaining trackers, supporting scenario coordination amongst key users.

Role Objective

Support the ERP Project for EMEA program delivery by providing PMO coordination, tracking, and UAT/ITC support. The intern will help ensure structured execution, visibility on risks and progress, and smooth coordination with the Project manager between Regional Stakeholders, IT teams, and Business Process Owners.

Key Responsibilities

1. PMO Coordination & Reporting

  • Maintain and structure project documentation (OneNote, Outlook, SharePoint).
  • Maintain project trackers (Excel / Azure DevOps): backlog, actions, risks, dependencies, milestones.
  • Prepare status reports, dashboards, and KPIs for ITC/UAT.
  • Support meeting preparation, follow‑ups, and action tracking.

2. ITC / UAT Coordination

  • Support ITC & UAT planning and execution:
    • Scenario tracking and coordination with BPOs
    • Tester and Key User assignments
    • Readiness checks (logistics, environments, access)
  • Assist the Project Manager with UAT coordination:
    • Methodology, planning, logistics, roles, KPIs, and tracking
  • Maintain UAT execution tracking:
    • Scenario status, defects, retesting progress
  • Support GO / NO‑GO preparation (data consolidation, readiness criteria).
  • Consolidate feedback on scenario coverage, missing test cases, and reporting needs.
  • Maintain Key User lists, availability, and backups.

3. Risk, Issues & Governance Support

  • Support risk and dependency tracking, including “what‑if” analysis.
  • Maintain defect and issue tracking during ITC/UAT.
  • Assist with documenting key risks and inputs for governance forums (Steercos)

4. Documentation & Readiness

  • Maintain training trackers and cutover preparation documentation.
  • Support governance setup and maintenance (Teams channels, shared folders, tracking files).
  • Ensure documentation is structured, up to date, and audit‑ready.

5. Change & Hypercare Support

  • Support training coordination (plans, attendance, material readiness).
  • Assist with change impact documentation and communication preparation.
  • Support hypercare preparation and post go‑live tracking.

Deliverables

  • Updated project trackers (Excel / Azure DevOps – training provided)
  • ITC & UAT readiness dashboards
  • Consolidated action, risk, and issue logs
  • Meeting summaries and follow‑ups
  • Governance and SteerCo support documentation

Required Skills & Profile

  • Currently studying Project Management, Business, IT, or Engineering
  • Strong Excel skills (trackers, lists, KPIs)
  • Organized, structured, detail‑oriented
  • Comfortable working with multiple stakeholders
  • Good written communication skills (English required)
  • Interest in IT projects / Change Management
