About the Role

Role Overview

The Construction Coordinator supports the Construction Manager and Director of Construction by coordinating administrative, contractual, and documentation-related activities across assigned construction projects. This role plays a key part in maintaining accurate project records, supporting trade contracting processes, and ensuring smooth communication between construction, accounting, and site teams.

 

Key Responsibilities

Project & Schedule Coordination

  • Assist with the preparation and maintenance of construction project schedules
  • Prepare and maintain project folders for new construction projects

 

Contracts & Change Management

  • Prepare Trade Contractor Agreements (TCAs), Change Orders (COs), Change Directives, and related contract documentation
  • Track, update, and maintain logs for all Contract Agreements, Change Orders, RFIs, and Site Instructions
  • Distribute contracts and change documents for execution and monitor timely return
  • Scan, stamp, file, and maintain executed contract documentation in both physical and electronic systems
  • Forward executed agreements, scopes of work, job numbers, and cost codes to Accounting and Site teams

 

Procurement & Tendering

  • Prepare Request for Proposals (RFPs) and tender packages
  • Prepare bid comparison analyses to support trade selection
  • Draft trade contracts, scopes of work, and payment schedules
  • Prepare purchase orders for suppliers as required

 

Documentation & Tracking

  • Maintain Shop Drawing and Cut Sheet transmittal and review status logs
  • Prepare and track Owner Change Orders (OCOs)
  • Ensure all project documentation is accurate, current, and well-organized

 

 

Qualifications

Required

  • Currently enrolled in a post‑secondary program related to Construction Management, Civil Engineering, Architecture, Engineering Technology, or a related field
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously
  • High attention to detail and comfort working with technical and contract‑related documents
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook; PowerPoint an asset)
  • Willingness to learn and take initiative in a fast‑paced construction environment
  • Comfortable working both in an office setting and on active construction sites
  • Ability to work collaboratively as part of a project team

 

Preferred 

  • Previous co‑op, internship, or summer experience in construction, engineering, or project coordination
  • Exposure to construction documentation such as RFIs, change orders, shop drawings, schedules, or contracts
  • Basic understanding of construction sequencing and project lifecycles
  • Experience or coursework related to project management or project controls
  • Familiarity with construction drawings and specifications
