About the Role:

The Project Manager focusing on the Enterprise Document Modernization Project will support a company-wide initiative to transition legacy network drives to SharePoint as Swanson’s primary document management platform. 

 

This role provides hands-on experience in enterprise IT operations, data governance, structured project management, and cross-functional coordination. The intern will work directly with business leadership and IT to inventory, clean, organize, and support phased document migration while helping establish long-term governance standards. 

 

This position will actively manage tracking, documentation, stakeholder coordination, and structured execution within a defined project framework. 


 Essential Responsibilities:

  • Shared Drive Assessment & Documentation
    • Inventory existing network/shared drives across departments
    • Document folder structures and storage footprint 
    • Identify departmental content owners 
    • Classify content (active, archival, obsolete)
    • Flag duplicate, outdated, or high-risk files
  • Stakeholder Coordination
    • Schedule and facilitate structured working sessions with department leads 
    • Capture and document cleanup decisions 
    • Maintain migration tracker and ownership matrix 
    • Support change management communication 
  • Data Cleanup & Migration Support
    • Organize low-complexity folders for migration
    • Support phased migration batches to SharePoint
    • Validate permissions and structure usability
    • Identify and document complex file dependencies (e.g. Linked Excel models)
  • Governance Development
    • Assist in drafting naming conventions and folder structure standards
    • Document retention and archival guidelines
    • Help create user reference materials for SharePoint adoption
    • Contribute to a 'future state' document management playbook
  • Reporting & Dashboard Management
    • Maintain project dashboard including:
      • % drives inventoried
      • % content archived
      • % content migrated
    • Provide weekly status updates
    • Assist in preparing executive summary presentations


Education & Experience:

Currently pursuing an undergraduate degree in Project Management, IT, Information Systems, Computer Science, Business Technology or a similar field. Coursework such as: Systems Analysis, Data Management, Project Management, IT Governance or Cybersecurity. Interested in pursuing CAPM, PMP or related project management certification.
