About The Company
Gregory Poole Equipment Company was founded by James Gregory Poole, Sr., and his uncle, William Lewis Gregory on April 1, 1951. With headquarters in Raleigh, North Carolina, Gregory Poole became the Cat construction equipment dealer for eastern North Carolina. Poole and his family obtained W.L. Gregory's shares in Gregory Poole Equipment Company and became the sole owners in 1961. Since that time the company has expanded its operations to 25 locations providing sales, rental, parts and service for construction, forestry, ag, lift systems, marine power, power generation equipment, trucks, buses and RVs in eastern North Carolina, as well as lift systems in eastern South Carolina and Virginia. About the Role

Primary Function

 

The Corporate Intern will support daily construction service operations and contribute to ongoing projects that advance business goals. This role is designed to provide hands-on experience, professional development, and exposure to corporate functions. The intern will collaborate with service team members, assist with administrative tasks, monitor e-mails, phone calls, and messages from all Construction branches to support the daily operations of the Service Departments. Set procedures will be incorporated to provide Standardized Processes for all branches.

 

Essential Duties

 

General Responsibilities

  • Assist with departmental projects, reports, and documentation
  • Conduct research, gather data, and prepare summaries or presentations
  • Support internal/external communications, scheduling, and coordination of team activities
  • Maintain accurate files, records, and databases as required
  • Participate in team meetings and project reviews
  • Collaborate with team/s to support business unit initiatives
  • Follow company policies, safety procedures, and confidentiality standards
  • Support documentation of technical processes and asset tracking

Construction Service

  • Open, maintain and close work orders for Service Operations.  Review and verify the following information:
    • Customer account
    • Component codes
    • Warranty status
    • PM
    • Standard Jobs
    • Service Letters
    • Contract / TM&R
    • Credit Check
    • Technical Information
    • SOS history
    • Transfers of parts/labor
    • Outside purchases
    • Documentation in WebXtender
    • Time Accuracy
  • Codes, approves and receive purchase orders. Reviews outside purchases to work orders and PM’s.  Maintains files.
  • Process CAT Access invoices
  • Closely monitor machine work orders and contacts service department with any modifications that are needed
  • Code vendor invoices for payment
  • Handle some customer credit and journal entries
  • Preparation of reports and memos
  • Coordinate work order information for Warranty Department
  • Travel to branch locations
  • Logs time on computer
  • Updates computer records for vacation/sick/personal business leave on Ceridian Time Pro
  • Receives and distributes mail
  • Transmits information via facsimile, personal messenger, email, etc.
  • Answers telephone and routes calls to appropriate personnel.  Ensures excellent customer relations by resolving telephone or direct request, issues or concerns
  • Assists Manager and others with projects as needed

 

Minimum Requirements

 

Education

 

Currently pursuing a bachelor's degree in business

 

Work Experience

 

Two years working experience in a similar administrative related position. Prefer general knowledge of Caterpillar equipment

 

Physical

 

Must be able to clearly communicate to others, especially in group facilitating and in writing. Must be able to use a PC for long periods.

 

Other

 

  • Must have strong communication, organizational, and analytical skills.
  • Must have the ability to manage multiple tasks with attention to detail.
  • Proficiency in Microsoft Office Suite
  • Good verbal and composition skills. 
  • Accounting knowledge. 
  • Computer literate. 
  • Technical aptitude.
