SUMMARY: Accurate calculation and data entry into the computer system

ESSENTIAL DUTIES AND RESPONSIBILITIES which are necessary to carry out the function of the Accounts Payable Administration (SG&A Payables) position may be assigned and are incorporated by reference into this job description. All personnel within this job description shall be subject to cross-training into jobs within the organization based on Company needs.

  • Accurate calculation and preparation of vouchers and General Ledger entries
  • Accurate data input
  • Completion of tasks sensitive to time restraints
  • Accounts Payable check runs
  • Communication by telephone, email etc.
  • Process all SG&A Payables for four Distribution Centers
  • Work closely with the Controller and CFO as well as all Department Heads in order to obtain necessary approvals for payments
  • Accounts Payable research
  • Oversee and execute hotel accommodations for Transportation drivers
  • Filing vouchers, general ledger entries, etc.
  • Preparing files for storage as needed
  • Mail delivery and pickup at post office as needed
  • Driving company car to local banks for deposits as needed
  • Working with other departments and or other companies to resolve accounting issues
  • Generate and ensure accuracy of SG&A invoice payments for CFO’s approval
  • Working extensively with computers and must have certain software skills
  • Maintaining accounting confidentiality
  • Assisting Controller, CFO, and other Accounts Payable desks when needed
  • Reports to work, as directed by the Controller and completes above listed task in a competent manner
  • Performs above listed duties in a cooperative, capable manner, processing the information effectively and communicating the information as needed effectively.

PHYSICAL DEMANDS:

The physical demands of this job include light physical activity performing sometimes repetitive activities of an administrative, productive and/or technical nature that must be met by the employee to successfully perform the essential functions of this job.

The employee must regularly sit, talk or hear, use hands to probe, handle or feel, and reach with hands or arms. The employee must occasionally stand, walk and stoop and kneel.

The employee must be able to lift up to 15 pounds and occasionally up to 25 pounds. Vision requirements of this job include close vision, and the ability to adjust focus.

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those and employee encounters while performing the essential functions of this job. The employee may occasionally work with the risk of electrical shock. The noise level of the work environment is moderate.
