About the Role
Job Description

This intern role will provide administrative support within the office environment and assistance to Project Engineers/Managers. As an intern in this role, you will work with a broad variety of stakeholders on multiple project and operational topics.


Responsibilities


• Receive and take timely action upon instructions from office leadership.
• Perform office administrative duties such as filing, digital scanning of documents and support of business projects.
• Make travel arrangements for team members, including flight reservations, accommodation research and bookings.
• Liaise with vendors and suppliers on day to day office supplies and arrange payment for same.
• Maintain files and reports for various office teams as and when required.
• Manage incoming office calls and post, forwarding to the appropriate team members.
• Schedule meetings and appointments in relation to project/team meetings.
• Provide assistance to project managers and team to effectively manage schedules, documentation, and project deliverables.
• Utilise current systems to track day to day updates on project documentation and deliverables.
• Assist with technical and financial aspects of assigned projects from project award to completion.
• Establish a process to manage purchase orders and work with project managers to provide a cost overview on projects.

 


Qualifications & Requirements

  • Degree level education is preferred, but not required.
  • Certificate in Administration or Project Planning would be advantageous.
  • Good time management skills.
  • Excellent organisation skills and the ability to manage multiple activities simultaneously.
  • Proficiency in Microsoft Office, including Excel, is required.
  • Good verbal and written communication skills with the ability to form good working relationships with peers, and vendors.
