 Administrative Assistant - Systems and Admin

(Canada Summer Jobs Program)

Temporary Full Time

HOURS OF WORK:                 full time (35 hours/week)

START DATE/TERM:              8 weeks between June – September (as soon as possible and to end no later than August 31, 2026 flexibility to start and end dates)

CANADA SUMMER JOBS PROGRAM:

Canada Summer Jobs is an initiative of the Youth Employment and Skills Strategy, which aims to provide flexible and holistic services to support all young Canadians in developing the skills and gain paid work experience to successfully transition into the labour market.

The Canada Summer Jobs program objectives align with the redesigned Youth Employment and Skills Strategy and are as follows:

  • Provide quality work experiences for youth between the ages of 15 to 30
  • Respond to national and local priorities to improve access to the labour market for youth who face unique barriers
  • Provide opportunities for youth to develop and improve their skills

POSITION SUMMARY:

The Administrative Assistant will support Macaulay’s Systems and Admin team.


RESPONSIBILITIES

  • Provide support in general administrative tasks and receptionist coverage.
  • Maintain and track communication and organization lists in Excel and other systems.
  • Provide administrative support to programs with word processing, spreadsheets, marketing materials, flyers, agency forms, and maintain master copies of documents processed.
  • General scanning, uploading, filing, archiving and document retrieval 
  • Schedule meetings and/or appointments.
  • Communications tasks as required, including: special events support, employee documents follow-up, etc.
  • Participate in trainings and meetings as required.
  • Other tasks as assigned.

QUALIFICATIONS:

  • Currently enrolled in/graudated from a Business, Data Analytics, Project Management, Office Administration, or similar program. 
  • Typing speed 40 to 60 wpm with high accuracy.
  • Detail-oriented with a keen eye for accuracy in data management.
  • Strong organizational and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, SharePoint, Teams, Outlook). 
  • Excellent communication skills.
  • Ability to work independently and productively.
  • Acceptable Vulnerable Sector Police Reference Check

SALARY: Summer Student Hourly Rate ($22.74/hour)
