About the Role

The Human Resources Department of the Catholic Children’s Aid Society of Toronto has an exciting opportunity for a student considering a career in Human Resources. The successful applicant will be able to gain practical hands-on experience in a progressive HR department by working on a variety of projects to gain generalist experience, as well as provide HR office support to the department.

The student would report directly to the Assistant Manager of Human Resource Services and receive daily supervision from the seasoned HR Coordinator through mentorship to gain confidence in working a fast-paced HR office environment. 

While this opportunity is primarily Human Resources focused, it also offers valuable exposure to our Communications department, working in collaboration with our Communications Specialist.

Human Resource Duties Include:

Provide confidential office support within a team environment through filing, document organization, and related administrative tasks to ensure the effective functioning of the Department, with additional exposure to the following areas in collaboration with the HR Coordinator.

Recruitment and Offboarding Initiatives:

  • Post jobs on ORACLE Database and on external sites when required;
  • Assist with setting up meetings and calling qualified applicants to schedule interviews;
  • Coordinate candidate testing if applicable as part of the competition process;
  • Format and prepare the interview selection criteria, tally sheets and other documentation required by interviewers;
  • Support the HR Coordinator/Consultant in conducting reference checks as required;
  • Coordinate with onboarding staff time to pick up all CCAS equipment and receive relevant document required;
  • Prepare new hire information packages and create ID cards;
  • Coordinate with offboarding staff time to drop off all CCAS property and equipment and to ensure all items are received from the checklist.

Learning and Development Portfolio:

  • Assist in auditing training records for compliance. 

Health & Safety:

  • Research Health and Safety initiatives and attend Joint Health and Safety Committee meetings; 
  • Work in a safe manner in accordance with the Society's Health and Safety Policies and procedures and all relevant legislation.

Administration and Staffing Initiatives:

  • Help design HR communications (ex. Vacation, flex, etc., Rogers Preferred program, Good Life, etc.);
  • Assist staff with the replacement or lost ID cards;
  • Process receipt reimbursements;
  • Prepare files to be stored off-site;
  • Maintain departmental office supplies. 

HR Special Projects: 

  • Assist in the preparation and coordination of annual events such as the Long Service Recognition Program, Take Our Kids to Work Day, Student Placements and other projects as assigned. 

Communications Department Job Duties Include: 

Brochure Support: 

  • Track brochure inventory (how many are on hand, whether updates are required, and identifying gaps), as well as coordinate the ordering of new brochures when needed.

Audience Engagement: 

  • Contribute to the creation of compelling multimedia content, including digital images or videos, across multiple platforms (Website, Facebook, LinkedIn, etc.);
  • Monitor comments/messages on social channels, flag questions for staff and track basic engagement metrics; 
  • Recommend improvements to maximize reach and effectiveness using key metrics and analytics;
  • Work closely with Communications team to support integrated marketing and PR campaigns;
  • Research grant support: Help gather information on available grants and compile summaries of eligibility criteria:
  • Other administrative support tasks as assigned. 

Canada Summer Jobs Eligibility:

This position is funded by Canada Summer Jobs, and as per the funding requirements, the successful candidate must meet all of the following criteria at the start of employment:

  • Between 15 and 30 years of age (inclusive);
  • A Canadian Citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act;
  • Legally entitled to work according to Ontario legislation and regulations (which means you must have a valid Social Insurance Number);
  • Registered as a full-time student in the previous academic year;
  • Intends to return to school on a full-time basis during the next academic year.

Other Qualifications/Requirements: 

  • Able to work onsite five (5) days a week at the head office located at 2206 Eglinton Avenue East, Scarborough, Ontario, M1L 4S7; however, flexibility to work Fridays from home;
  • Studying Human Resources Management/Business or other academic area related to the HR Field; 
  • A familiarity with the theories, principles and practices related to the broad human resources function including any of the following: management principles, organizational design and development, organizational behaviour, compensation, job evaluation, and benefits, staffing and recruitment, employee relations and negotiation, performance management and leadership development, equity, harassment and discrimination, health and safety;
  • Excellent knowledge of, and aptitude for, personal computer operations and software packages and database applications such as Microsoft Word, PowerPoint, Excel and ORACLE;
  • Excellent organizational and time management skills in order to establish priorities and work independently (as required) or part of a team;
  • Excellent verbal, written and listening communication skills and interpersonal skills in order to work effectively with individuals and groups from a variety of diverse communities; 
  • Discretion, judgment, and tact to handle confidential information and issues of a sensitive nature;
  • Positive professional manner and team player;
  • Demonstrated understanding of Health and Safety Policies and Procedures and relevant legislation.

Skills Required Within the Communications Department:

  • A passion for social media content creation; 
  • Strong knowledge of key social platforms (Facebook Instagram, LinkedIn); 
  • Experience in Canva design tools and online video tools; 
  • Demonstrates strong attention to detail to ensure accuracy in grammar, formatting, and presentation, while also bringing the ability to craft clear, engaging story telling and narratives.

Assets:

  • Fluency in French or proficiency in a second language.
