About the Role

GENERAL STATEMENT

The Beach Pride Office Assistant provides essential administrative and clerical support to ensure the smooth and efficient operation of the office. This role involves a variety of tasks including managing correspondence, organizing files, scheduling appointments, and assisting staff and visitors. The Office Assistant plays a key role in maintaining a professional and welcoming office environment while supporting the team in day-to-day operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.

  1. Answers incoming phone calls, greets visitors and responds to inquiries in a courteous manner. 
  1. Disseminates information about Associated Students and Beach Pride Events by tabling for outreach, attending general meetings, and engaging with patrons through both face-to-face and virtual interactions.
  1. Performs general typing, filing, data entry, collating and maintenance of files as well as schedule appointments, update calendars and arrange meetings. 
  1. Receives visitors and directs them to the appropriate office(s). 
  1. Operates standard office equipment: including copy machines, computers, printers, telephone, and maintains office supplies.
  1. Maintain accurate records of all supplies within office and dedicated storage spaces. 
  1. Provide administrative and logistical support for major programs and events, including coordinating schedules, preparing materials, managing communications, and assisting with on-site or virtual execution to ensure successful implementation. 
  1. Other duties as assigned, reasonably scope of the job.


MINIMUM QUALIFICATIONS

Education and/or Experience

Minimum or no previous work experience required. Must be a current and active CSULB student enrolled in a minimum of 6 units.


Knowledge and Abilities

Working knowledge of modern office methods and practices. General knowledge of data processing and personal computer operations is preferred. Exceptional customer service skills are a must. General knowledge and understanding of the organizational structure of a university and some working knowledge of University policies and procedures preferred.


OTHER QUALIFICATIONS

Schedule 

Shifts are generally scheduled Monday–Friday between 8 AM and 7 PM during the academic year, with occasional evening and weekend hours required for event support. Schedules may vary based on departmental needs, and shifts are not guaranteed during winter and summer sessions.

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, and color vision.
