Role Overview
The Admin Coordinator Intern provides essential administrative support to ensure the efficient operation of the office and smooth coordination of daily activities. This role acts as a first point of contact for visitors and employees, supporting communication, logistics, and in-person administrative processes.
Key Responsibilities
Administrative & Office Support
Provide general administrative support including filing, photocopying, scanning, and document preparation
Assist with data entry and basic clerical tasks across departments
Support internal communications, including distribution of memos and correspondence
Assist with distribution of employee materials (e.g. lunch vouchers, where applicable)
Mail & Communication Handling
Sort and distribute incoming mail, packages, and deliveries
Prepare and dispatch outgoing mail, ensuring accuracy and timeliness
Manage general office correspondence and support communication flow
In-Person Coordination & External Liaison
Coordinate and deliver documents in person to relevant authorities (e.g. tax, social security, immigration)
Assist with submission and legalization of official documents
Support collection of legal documents from external authorities
Assist in processing government-related fees for client applications
Office Operations Support
Act as a first point of contact for visitors and internal stakeholders
Support day-to-day office operations and administrative workflows
Undertake ad hoc administrative duties as required
Candidate Profile
Strong organizational and administrative skills
High attention to detail and accuracy
Good communication and interpersonal skills
Ability to manage multiple tasks and prioritize effectively
Proactive, reliable, and eager to learn
Basic proficiency in MS Office (Outlook, Word, Excel)
