Role Overview

The Admin Coordinator Intern provides essential administrative support to ensure the efficient operation of the office and smooth coordination of daily activities. This role acts as a first point of contact for visitors and employees, supporting communication, logistics, and in-person administrative processes.

Key Responsibilities

Administrative & Office Support

  • Provide general administrative support including filing, photocopying, scanning, and document preparation

  • Assist with data entry and basic clerical tasks across departments

  • Support internal communications, including distribution of memos and correspondence

  • Assist with distribution of employee materials (e.g. lunch vouchers, where applicable)

Mail & Communication Handling

  • Sort and distribute incoming mail, packages, and deliveries

  • Prepare and dispatch outgoing mail, ensuring accuracy and timeliness

  • Manage general office correspondence and support communication flow

In-Person Coordination & External Liaison

  • Coordinate and deliver documents in person to relevant authorities (e.g. tax, social security, immigration)

  • Assist with submission and legalization of official documents

  • Support collection of legal documents from external authorities

  • Assist in processing government-related fees for client applications

Office Operations Support

  • Act as a first point of contact for visitors and internal stakeholders

  • Support day-to-day office operations and administrative workflows

  • Undertake ad hoc administrative duties as required

Candidate Profile

  • Strong organizational and administrative skills

  • High attention to detail and accuracy

  • Good communication and interpersonal skills

  • Ability to manage multiple tasks and prioritize effectively

  • Proactive, reliable, and eager to learn

  • Basic proficiency in MS Office (Outlook, Word, Excel)
