Position Summary:

The Graduate Assistant for Event Management supports the planning, coordination, and execution of internal and external events that enhance the University experience and strengthen community engagement. This position provides hands-on experience in event planning, client relations, operations, and venue management while assisting with initiatives that support campus event growth and revenue generation.
This position is expected to work 20 hours per week, which may include business hours, evenings, and weekends
Key Responsibilities:
- Assist with planning, coordinating, and executing internal and external events, meetings, conferences, and special programs.
- Support event logistics, including scheduling, communications, room reservations, setup, materials preparation, and event services such as audiovisual equipment, catering, parking, and guest accommodations.
- Provide on-site event support, including guest assistance, coordination, troubleshooting, and basic technology support.
- Assist with the scheduling and management of University facilities for internal and external events.
- Develop and maintain event planning tools, including timelines, checklists, workflows, calendars, and event management systems.
- Support outreach and relationship-building efforts with community organizations, businesses, schools, vendors, and prospective event clients.
- Assist with preparing event proposals, client communications, marketing materials, social media content, and rental information.
- Track event participation, expenses, and revenue; assist with reporting, assessments, and post-event evaluations.
- Collaborate with campus departments, student organizations, and external partners to ensure successful events and positive participant experiences.
- Support compliance with University policies, procedures, and safety standards.
- Prepare reports, presentations, and event summaries, and perform other duties as assigned.

Qualifications:
- Currently enrolled in a graduate degree program at Thomas More University.
- Strong organizational, communication, and customer service skills.
- Ability to manage multiple projects and work occasional evenings or weekends.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Interest in gaining experience in a dynamic, multi-functional office environment
