About the Role

Responsible for assisting the Event Services Manager with hospitality, sponsorship activation and client services.

QUALIFICATIONS

  • Graduating senior or graduate student in an accredited four-year college or university or currently possess a bachelor’s degree
  • Sports Marketing/Management, Marketing, Management, Communications or comparable liberal arts majors preferred
  • Ability to work in a team environment
  • Public relations skills and ability to communicate with staff, volunteers, corporate clients, club members and general public
  • Must take initiative, operate proactively and think independently in project management and problem solving
  • Capacity to work on several projects simultaneously
  • Self-discipline with schedule and time management
  • Organization, attention to detail and follow-through are crucial
  • Strong computer skills

RESPONSIBILITIES/DUTIES

  • Hospitality:  Includes all aspects of on course sponsorship activation, tent set up, interiors, tickets, menus, flowers, landscaping, equipment and signage, audiovisual, credentialing, hospitality event books, post event surveys and management of access process. Corporate client’s communication and tracking of client information.

  • Volunteer Program:  Coordinate administration of volunteer workforce, including day to day interface with volunteers and volunteer leadership, assist with scheduling, communication/correspondence, creating volunteer manual, managing uniform distribution and process, food & beverage, volunteer sales event, and meetings. Recruit volunteers through local charities and community organizations and manage the volunteer database. Work and assist with the Student Volunteer Program.
  • Tournament Programs – Honorary Observers, Committee Orientations, Gift Programs (includes inventory management), Transportation, Client and Special Events, Child Care (if applicable).            
  • Golf Outings: Coordinate all amateur golf outing including all print materials, schedules, gifts, F&B, signage, locker room and range setup.
  • Websites/Social Media - maintenance of hospitality website, volunteer website and volunteer website. Assist with coordination of the Tournament’s social media efforts.
  • Military Program: Management and set-up of military ceremony, Patriots Outpost venue and special military events.
  • Clubhouse:  Management of set up and use of Clubhouse space, food and beverage BEOs. Main point of contact for tournament.
  • Player Services: Assist with player hospitality, transportation, and hotel accommodations
  • Other areas:  Organization and distribution of tournament information to staff and vendors; pro-am and am-am events; inventory projects; marketing; communications; general administrative work and work with Tournament’s title sponsor and host club.
