Your Role

  • Work closely with the Workplace Manager to maintain an organized, highly functional, and welcoming office environment.
  • Monitor and manage inventory for office materials, and kitchen supplies; assist with placing vendor orders and restocking.
  • Support the Team Lead with daily operational tasks, document preparation, data entry, and ad-hoc administrative projects.
  • Help liaise with external service providers, facility management, and maintenance teams to ensure all our spaces are in top condition.
  • Assist with welcoming external visitors, candidates, and clients to the HQ, ensuring a seamless and positive arrival experience.
  • Provide hands-on support for local team events, workshops, and catering setups, helping to foster a vibrant workplace culture.

  • Graduate in Business Administration, Hospitality, Human Resources, Communications, or a related field.
  • Proficiency in Google Workspace (Docs, Sheets, Slides) and/or MS Office Suite.
  • Fluency in English is required. A good command of German is highly preferred to effectively coordinate with local German vendors, couriers, and service providers.
  • A true “can do” attitude with a strong willingness to learn and take initiative.
  • Ability to structure tasks efficiently, manage multiple administrative requests, and maintain attention to detail.
  • Approachable, friendly, and eager to deliver a great experience to the team every day.
  • High level of responsibility and trustworthiness, especially when handling confidential mail and HQ operations.
