Job Description

The intern will support the Internal Control System for Finance (ICS FIN) by assisting in the implementation of the rotation plan, liaising with international locations on control execution, and acting as a first line support desk for ICS FIN-related queries. The role contributes to the preparation of ICS FIN reports for senior management and committees, supports the Annual Risk and Control Self Assessment, and helps maintain and improve ICS FIN documentation and processes.

 

Key Responsibilities

1. Support the ICS FIN rotation plan implementation
Assist in the implementation of the Internal Control System for Finance (ICS FIN) rotation plan under the guidance of senior team members.
Help coordinate the planning and scheduling of control testing activities across different finance areas.
Maintain an overview of the rotation plan status (e.g. completed, ongoing and upcoming activities) and prepare simple summaries for the team.

2. Liaising with international locations on ICS FIN execution
Support communication with international locations involved in the execution of ICS FIN controls.
Help collect information, documentation and status updates from local finance teams.
Assist in following up on outstanding actions, clarifications or missing documentation, escalating issues to senior colleagues when needed.

3. First line support desk
Act as a first point of contact for basic questions related to ICS FIN processes, tools and documentation.
Provide initial guidance to users based on existing procedures, manuals and instructions.
Record and categorise incoming queries and issues, and forward more complex topics to the appropriate team members.

4. Preparation of ICS FIN reports for senior management and committees
Assist in preparing regular and ad hoc ICS FIN reports for senior management and relevant committees.
Support data collection, consolidation and formatting of information on control execution, findings and remediation status.
Help ensure that reports are accurate, consistent and delivered within agreed deadlines.

5. Support in the Annual ICS FIN Risk and Control Self Assessment (RCSA)
Take an active role in supporting the Annual Risk and Control Self Assessment for ICS FIN.
Assist in organising the assessment process (e.g. timelines, participants, documentation requirements).
Help gather input from stakeholders, compile results and prepare summaries of key risks, controls and findings.
Support the documentation of conclusions and follow-up actions arising from the assessment.

6. Maintenance and improvement of ICS FIN
Contribute to the maintenance of ICS FIN documentation (e.g. control descriptions, procedures, guidelines and templates).
Assist in identifying opportunities to simplify, clarify or improve existing ICS FIN processes and materials.
Support small improvement initiatives, such as updating checklists, enhancing guidance documents or improving data quality in ICS FIN tools.

Special Tasks: 

1. Learning and development
Participate actively in on-the-job training on ICS FIN concepts, risk and control frameworks and finance processes.
Build understanding of internal control principles, risk assessment and the role of ICS FIN within the finance function.
Develop familiarity with the tools and systems used to document and monitor ICS FIN controls.

2. Cross-functional collaboration
Support interactions with other finance and control functions (e.g. local finance teams, risk management, compliance, internal audit) as part of ICS FIN activities.
Assist in coordinating information flows and ensuring that relevant stakeholders receive the required ICS FIN documentation and updates.

3. Ad-hoc support
Perform ad-hoc tasks related to ICS FIN, such as data checks, file organisation, preparation of presentations or simple analyses.
Provide general administrative and organisational support to the ICS FIN team as needed.

 

 Who we are looking for 

  • Currently enrolled in a Bachelor’s or Master’s degree in Finance, Accounting, Business Administration, Information Systems, or a related field.
  • Strong analytical skills and ability to structure and synthesise information.
  • Good command of office tools, in particular spreadsheets and presentations.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with Finance, IT and other stakeholders.
  • High attention to detail, reliability and good organisational skills.
  • Proactive, curious and willing to learn in a project driven environment.
  • Very good command of English and French (written and spoken).
