ABOUT THE TEAM

The Operations Team is a vital part of ALU's mission, as we ensure the smooth functioning of the university's administrative, logistical, and technological infrastructure. We work collaboratively to provide top-notch support to our students, faculty, and staff, and are committed to maintaining a culture of excellence, innovation, and inclusivity. Our team regularly interacts with other teams such as student life, admissions, academics and finance to provide seamless support for the university's operations.

ABOUT THE ROLE

The Campus Administrative agent serves as a central point of coordination for front desk operations, student and staff support, office logistics, and cross-functional task execution. This role is critical in ensuring a smooth and professional experience for everyone on campus, from students and staff to visitors and external partners. The position goes beyond traditional front desk duties, involving high-level multitasking, event coordination support, internal follow-ups, and logistical planning. It requires a proactive individual who can balance operational efficiency with a welcoming, solutions-oriented approach.

Key Responsibilities

Front Desk & Communication Support

  • Serve as the first point of contact for all students, staff, and visitors.
  • Provide real-time support and accurate information or direction to inquiries.
  • Maintain a professional and welcoming front desk and reception area.
  • Respond to phone calls, walk-ins, and Freshdesk requests efficiently and courteously.
  • Skillfully and courteously handle and de-escalate student and visitor complaints or concerns, ensuring a satisfactory resolution.
  • Ensure the reception area consistently presents a tidy, organized, and professional image, equipped with all necessary supplies and up-to-date informational materials.
  • Maintain accurate visitor logs and records, ensuring all guest and appointment information is meticulously documented.

Office Management, Administrative Coordination & Logistics

  • Manage daily office needs, including supply distribution, inventory tracking, and general errands.
  • Track and organize stationery, equipment, and other campus resources.
  • Maintain internal request logs and update systems regularly.
  • Act as a central point for office-related requests and issues, escalating to the appropriate operations team members when necessary and ensuring timely resolution.
  • Assist the Operations team with various tasks to ensure the smooth functioning of campus facilities and services

Internal Support & Department Liaison

  • Liaise with departments (especially Admissions) to ensure follow-up on walk-in inquiries.
  • Coordinate with the operations team to ensure timely event setup and logistics execution.
  • Work with departments to improve request routing and minimize disruptions at the desk.
  • Advocate for better planning by encouraging early request submissions (e.g. via Freshdesk).
