About the Role

The Site Finance and Admin Intern will support jobsite operations by assisting the Office Manager with finance-related and administrative tasks. Responsibilities include helping process and track invoices, coordinating with subcontractors and vendors, and supporting payment-related documentation and filing. This role contributes to smooth site operations by maintaining accurate records and ensuring timely handling of financial paperwork. In alignment with Hoffman’s dedication to our people, this position is fully onsite.

Salary Range: $19.33 - $24.23 (plus assignment adjustment, if applicable)

 

ESSENTIAL RESPONSIBILITIES:

  • Assist with processing check requests and expense reports as directed by the Office Manager.
  • Support the review, coding, and processing of vendor invoices ensuring accuracy and timely handling.
  • Help with monthly reconciliations by preparing documentation, updating spreadsheets, and organizing supporting records.
  • Assist in maintaining vendor account information and help ensure documentation aligns with company policies and procedures.
  • Perform data entry associated with accounts payable and jobsite financial documentation.
  • Help identify and resolve basic invoice discrepancies by gathering information and communicating with the Office Manager.
  • Support communication with vendors by helping respond to inquiries or routing questions to appropriate team members.
  • Help with filing, document organization, and electronic/physical record retention to maintain accurate jobsite financial files.

 

QUALIFICATIONS:

Position Related Skills

  • Basic proficiency in Windows and Microsoft Office 365 (Excel, Word, Outlook, Teams) and willingness to learn additional tools as needed.
  • Ability to maintain a positive, cooperative attitude in a dynamic and fast-paced jobsite environment.
  • Strong time-management skills with the ability to handle multiple tasks and adjust to frequent interruptions.
  • Clear written and verbal communication skills and the ability to build positive working relationships.
  • Solid analytical and arithmetic skills appropriate for coursework level.
  • Strong attention to detail and good organizational habits.
  • Comfortable working on a jobsite in a trailer.
  • Willing to learn, take direction, and take on new tasks as skills develop.
  • Dependable team player able to collaborate with project staff, vendors, and office personnel.

 

Professional Experience and Education

  • High School Diploma or GED required.
  • Enrolled in University, with a major in finance, accounting, math or construction management.

 

Physical and Mental Requirements: 

  • Standing/Walking/Sitting: Workday is combination of standing, walking and sitting.
  • Must be able to climb stairs: 5% of day. 
  • Hands/Arms: Constant use of hands/fingers for mouse/keyboard/computer use. 
  • Sight: Visual acuity in near, mid, and far range vision. Color vision, peripheral vision, depth perception, hand/eye coordination. 
  • Hearing: Sufficient to hear conversational levels in person and over the telephone.
  • Speech: Sufficient to make oneself heard in person, speak in front of groups, and be understood over the telephone.
  • Bending/Twisting: Minimal. 
  • Kneeling/Crouching/Crawling: Minimal. 
  • Constant mental alertness, accuracy, and attention to detail required. 
  • Must be able to work independently, make decisions, and follow through on all assignments. 
  • Must use creativity, independent judgment, and organizational and problem-solving skills to determine best method to accomplish desired results. 
  • Must be able to plan and organize work. 
  • Must possess strong organizational and computer use skills and have a high level of competency to read/write/speak English, interpret construction related documentation and communicate with coworkers.
