About the Role

Description

 Program Operations, Customer Service, and Salesforce Database Administration (70%)

Support the Look Good Feel Better program volunteers, hospital partners and database, including:

  • Manage customer service requests through email and support tickets: responding promptly and carefully to volunteer/other constituent questions, and redirecting requests and seeking supervisor guidance as appropriate
  • Provide reports to hospital partners by consolidating registration records on Excel
  • Order materials for Look Good Feel Better patients and hospital partners
  • Assist in drafting and coordinating partnership agreements for prospective hospital partners using established contract templates.
  • Track monthly LGFB Virtual Workshop Attendance via Zoom
  • Provide quarterly report reviews of Participant Evaluations
  • Prepare and schedule bimonthly email invitations for upcoming workshops
  • Update training materials and system documentation as appropriate
  • Other database and program support as requested and other general administrative support

Marketing, Communications and Special Projects (20%)

Support Foundation marketing and communications content and campaigns under direction of Marketing/Communications Senior Specialist, including:

  • Assist with website content updates and maintenance, helping ensure information remains accurate, current, and aligned with Foundation priorities.
  • Support marketing and communications projects through research, asset organization, content development, and the compilation of materials for campaigns, events, and special initiatives.
  • Help maintain partner-related website content by coordinating with partner organizations to verify logos, company information, and other published materials.
  • Provide general support for marketing and communications needs, including occasional use of Canva and other tools as appropriate.

Finance and Fundraising (10%)

Assist Foundation staff in routine operations, such as:

  • Process donation data entry, and acknowledgements
  • Assist with invoice processing as needed
  • General administrative support for budget and fundraising activities/events

Requirements

 

  • Proficient with Microsoft 365, especially Excel, and adept at quickly learning new technology 
  • Salesforce or CRM database experience, and digital marketing experience a plus. 
  • Must have a good eye for detail, excellent communication and writing skills, and be able to work independently. Should have relevant work or volunteer experience. Marketing or Communications background and/or course work are strongly encouraged. Spanish language skills a plus.

Candidates must be enrolled in a full-time undergraduate degree program. Hours are flexible but must be worked during a regular weekday (9 am – 5:30 pm EST), Monday – Friday during Sep. – May. Time commitment is 15 hours Fall/Spring Semesters, and up to 15 hours May-August. 


Candidate will communicate with Foundation staff via phone, email, Zoom and Microsoft Teams.
