JOB SUMMARY:

As a Production Intern at USA Industries, you will play a vital role in ensuring the smooth functioning of our manufacturing operations by providing essential administrative support. Your primary focus will be on handling administrative tasks such as scanning documents, organizing files, and assisting with data entry, all of which are crucial for maintaining efficient workflow and documentation accuracy.

JOB DUTIES AND RESPONSIBILITES:

  • Scan and digitize documents such as production reports, work orders, and quality control records.
  • Organize and maintain electronic and physical filing systems to ensure easy retrieval of documents.
  • Assist with data entry tasks, including inputting production data, inventory records, and employee information into databases or spreadsheets.
  • Assist with incoming and outgoing correspondence, including emails, letters, and packages.
  • Provide general clerical support, such as photocopying, faxing, and filing.
  • Assist with the accuracy and completeness of production documentation by verifying information and resolving discrepancies.
  • Assist in the creation and updating of standard operating procedures (SOPs) and work instructions.
  • Assist with the tracking and monitoring of document revisions and approvals.
  • Support audits and inspections by retrieving requested documents and facilitating document review processes.
  • Assist production supervisors and operators as needed with tasks such as setting up equipment, monitoring processes, and conducting quality checks.
  • Collaborate with cross-functional teams to coordinate workflow and assist with any production issues or bottlenecks.
  • Learn and follow safety protocols and procedures to maintain a safe working environment for yourself and your colleagues.
  • Contribute ideas and suggestions for process improvements to enhance efficiency, reduce waste, and optimize resource utilization.
  • Participate in team meetings and discussions to share insights and feedback on ways to streamline operations and improve productivity.
  • Actively engage in training opportunities to expand your knowledge and skills related to production and administrative tasks.

QUALIFICATIONS:

Education

  • High School diploma or equivalent preferred; or currently enrolled in high school.

Work Experience

  • Previous experience in a manufacturing, production, or administrative role is advantageous but not required.
  • Internship or co-op experience in a related industry is a plus. 

Skills

  • Proficiency in basic computer skills, including Microsoft Office applications (Word, Excel, Outlook) and utilizing scanning/printing equipment.
  • Strong attention to detail and accuracy in data entry and document management.
  • Capacity to organize scanned documents in digital folders or databases according to established filing systems.
  • Ability to manage scanning/printing tasks efficiently, prioritizing jobs based on urgency and importance.
  • Excellent organizational and time management skills to prioritize tasks effectively in a fast-paced environment.
  • Good communication skills, both verbal and written, with the ability to interact professionally with colleagues at all levels.
  • Ability to work independently with minimal supervision as well as collaboratively in a team setting.
  • Eagerness to learn and willingness to take on new challenges and responsibilities.

Physical Requirements

  • Clear and effective communication skills; visual acuity to process paperwork. 
  • Ability to sit at a desk for extended periods. 
  • Ability to stand, walk, and move around production areas as needed.
  • Capacity to lift and carry objects weighing up to 25 pounds.
  • Manual dexterity and hand-eye coordination to perform tasks such as scanning documents, typing, and handling small objects.
  • Comfort working in a manufacturing environment that may involve occasional exposure to noise, machinery, and varying temperatures.
