Office Operations & Reception

  • Professionally manage the reception desk, welcome and assist guests, partners, and employees
  • Manage meeting schedules, meeting rooms, and support meeting room equipment operation when needed
  • Proactively receive correspondence, documents, parcels and deliver to the right person in a timely manner
  • Monitor, inventory and manage office equipment and assets; coordinate to resolve issues as they arise, propose ad-hoc repairs
  • Monitor and inventory office supplies and consumables; make monthly purchase proposals
  • Support data entry and maintain databases related to office operations
  • Ensure reception and office areas are always neat and professional

Stakeholder & Vendor Management

  • Work with Building Management in registering forms/documents related to office operations
  • Support and coordinate with vendors and service providers for service delivery
  • Monitor service quality and support vendor performance evaluation

Event Organization & Internal Activities

  • Participate in planning and organizing company events and internal activities
  • Support logistics, venue setup and on-site coordination for events
  • Track budget and event organization costs
  • Collect and analyze feedback after events, propose improvements for future events

Project Support & Cross-functional Collaboration

  • Coordinate with other teams (HR, Finance, Operations) on joint projects
  • Support the team with special tasks and ad-hoc work as required by management

REQUIREMENTS

  • Students currently enrolled or not yet graduated in Business Administration, Human Resources Management, Office Administration, English Language or related fields
  • Proficient in MS Office (Word, Excel, PowerPoint). Knowledge of Canva is an advantage
  • Basic English communication skills (reading comprehension and speaking)
  • Good organizational and time management skills
  • Basic data and numerical analysis skills
